How we handle your information and protect your project details.

This policy explains how Veran handles personal information received through our website and project work. It also describes our commitments for confidential customer drawings and designs, including files that do not contain personal information.

Who is responsible for your information

This website is operated by Veran Design PTY LDT, trading as Veran 3D, at 1297 Cunningham Avenue, Waverley, Pretoria, 0135.

Information we collect and how we receive it

We receive information when you send an enquiry, request a quote, supply project files, approve work or communicate with us. This can include:

  • Your name, business name, email address and telephone number.
  • Billing, delivery and collection details relevant to your order.
  • Drawings, CAD files, scan data, photographs, specifications and project requirements you provide.
  • Quotes, approval messages, invoices, payment records and project correspondence.
  • Technical website information such as IP addresses, browser details and security logs, depending on the services enabled on the site.

Why we use your information

We use relevant information to respond to enquiries, assess feasibility, prepare quotations, deliver agreed services, arrange collection or delivery, manage payments and resolve project questions. We also use necessary records for administration, security and legal obligations.

Processing relies on the applicable lawful basis, such as steps towards or performance of a contract, legal obligations, legitimate interests or consent. We request consent where required.

Providing project information is voluntary, but we may be unable to quote or carry out work without the necessary contact details, files or specifications. Please avoid including unrelated personal or sensitive information in project files. If you supply another person’s details or designs, make sure you are authorised to do so.

Customer drawings, designs and confidentiality

We treat customer drawings, CAD models, scan data, photographs, specifications and project discussions as confidential project information, whether or not they contain personal information.

We use this information to assess your enquiry, prepare a quote, carry out the agreed work and provide project support. Access is limited to people who need it for those purposes.

We do not sell your designs, publish your files or use them to manufacture products for another customer without your written permission. Sending us an existing design does not transfer ownership of that design to Veran. Ownership and delivery of new files created during a project are addressed in the agreed project terms.

If an external manufacturing or technical specialist needs your project files, we will agree that involvement with you before sharing them. Only the information needed for the work will be shared, under confidentiality obligations. Hosting, email and storage providers may also process files as described below. Disclosure may be required by law.

We will obtain your written permission before displaying identifiable customer projects, drawings, CAD screenshots, photographs or customer names on our website, social media or marketing materials. Approving production does not, by itself, give permission for publicity.

For a sensitive or unreleased project, contact us before sending files so we can discuss an NDA and the transfer, access and retention arrangements. Any NDA must be agreed and signed before the information it covers is shared.

Service providers and information sharing

Relevant information may be handled by providers supporting website hosting, email, file storage, backups, payments, delivery or professional administration. A courier, for example, needs delivery details rather than your full CAD design.

Providers processing personal information on our behalf must have appropriate confidentiality and security obligations in written agreements. We share only the information needed for the relevant purpose, or where disclosure is legally required.

Storage and international processing

If personal information is processed outside South Africa, the transfer must meet POPIA’s requirements. We do not describe information as stored only in South Africa unless that is true of the providers and arrangements used.

How long information and project files are kept

We keep information only for as long as needed for its purpose or another lawful reason, such as required financial records or handling a dispute. Once retention is no longer justified, information is deleted, destroyed or de-identified as appropriate.

You may ask about retaining or deleting your project files. We will explain any records that must remain and how deletion affects stored copies, email attachments and backups. Please keep your own copy of important source files.

Security and confidentiality concerns

We take reasonable technical and organisational steps to prevent unauthorised access, loss and misuse of information. No website, email service or storage system can guarantee absolute security.

If we have reasonable grounds to believe personal information has been accessed or acquired by an unauthorised person, we will follow POPIA’s notification requirements for the Information Regulator and affected people, as applicable.

For concerns about an unauthorised disclosure of project designs, contact us with the project reference and details so we can investigate and respond.

Website cookies, analytics and external services

Cookies are small files stored on your device. Website services can also collect technical information through logs or other tracking technologies.

Google Site Kit and Google Analytics
We use Google Analytics, connected through Google Site Kit, to understand website visits and improve our pages. Google processes information about pages viewed, interactions, device and browser details, and approximate location. Analytics cookies help distinguish visitors and sessions.

Jetpack Stats
We use Jetpack Stats, provided by Automattic, to measure page views, referring websites and link activity. Automattic retains identifiable Stats logs for 28 days; aggregated statistics may remain available for longer.

Forms and anti-spam protection
Our forms use Forminator, developed by WPMU DEV, with anti-spam protection to reduce automated or abusive submissions. These checks may process submission and technical information to assess whether a request is genuine. Where an external anti-spam provider is used, its privacy terms also apply.

External and embedded services
Third-party content and tools may process technical information when loaded or used. Google Maps and WhatsApp are provided by Google and Meta respectively. Information shared through these services is subject to their privacy terms.

Retention periods
Cookie expiry and information retention are different. Google Analytics retains detailed user and event data according to our account settings; aggregated reports may be retained longer. Other service records are retained according to their purpose, configured settings and the provider’s terms. Contact us for information about the settings currently in use.

Managing cookies
You can block or delete cookies through your browser settings. Blocking cookies may affect some website functions and does not necessarily prevent all collection through logs or technologies that do not use cookies.

You can manage cookies through your browser and any cookie controls provided on the site. Blocking some cookies may affect website functions.

If you follow a Google Maps link or contact us through WhatsApp, that external service processes information under its own terms and privacy notice. This policy also covers the information Veran receives from your communication.

Project messages and optional marketing

Enquiries and order-related messages are used to handle your request or project. A quote request is not, by itself, permission to add you to a marketing mailing list.

Any electronic direct marketing will follow POPIA’s consent or qualifying existing-customer requirements and include a way to opt out.

Your privacy rights and requests

Subject to applicable law, you may request confirmation of information we hold, access to it, correction or deletion, object to processing, or withdraw consent where processing relies on it. Withdrawal does not invalidate earlier lawful processing.

Send your request to info@verandesign.co.za. We may ask for reasonable identity verification. We will explain any lawful limits on a request.

Changes to this policy

We may update this policy when our services or information-handling practices change. The current version will be published on this page, with its effective date. We will provide additional notice where required.
